Emerald Crown Villa Terms and Conditions

Bookings

An initial reservation may be made by telephone or email and will be held for a maximum of 4 days. Completion and return of our Booking Form and a Deposit or Full Payment, as appropriate, will confirm the booking.

Deposit and Security Deposit

A deposit of $400/£300.00 or 20 percent of the total balance per booking is required with the completed Booking Form (whichever is the highest amount). Confirmation of booking will normally be made within seven days of receipt of deposit. Once the booking is confirmed, the deposit will be non-refundable but will be deducted from the full rental amount due. A refundable Security Deposit will be charged by way of a check for the amount of $500/£300 payable with the balance, 12 weeks prior to arrival, covering potential breakages or damage whilst staying in the home. This is refundable after 28 days following departure providing the home is in good order.

Balance of payment
The balance of the payment is to be paid no later than 8 weeks before the arrival date. When a booking is made within 12 weeks of the arrival date, then full payment must accompany the Booking Form.

We reserve the right to cancel the booking if payment is not received by the due date.
Payment

We accept all major credit cards, however due to the costs involved for this service; we charge an extra 3 percent of the total charge. We also accept checques. Rental rates quoted are not inclusive of 13 percent Florida Sales and Resort taxes.

Cancellation charges

The client may cancel the booking at any time after it has been confirmed. Cancellation must be made in writing or by e-mail. The following cancellation charges will apply upon receipt:
Between 9 to 12 weeks before arrival Loss of 50 percent of the total rental due.
Between 6 to 9 weeks before arrival Loss of 75 percent of the total rental due.
Less than 6 weeks before arrival Loss of 100 percent of the total rental due.
If through circumstances beyond our control, it is necessary for us to cancel, we will refund all monies paid, without interest or further compensation, and offer to find alternative accommodation

Amendments

Alterations to confirmed bookings by the renter can be requested and will be at the owners discretion an administrative fee of $50/£30 will be charged. Changes need to be notified in writing or by e-mail together with the administrative fee.

Rental rates
Rental rates quoted are not inclusive of 13 percent Florida Sales and Resort taxes.
Occupancy
Florida State Law prohibits subletting, sharing or assigning. Therefore, only the persons named on the Booking Form are allowed to stay in the house, any persons not shown on the Booking Form will be asked to leave. The maximum occupancy level of the house is 14.

Arrival and Departure

The rental commences at 16.00hrs on the day of arrival and ceases at 10.00hrs on the day of departure.

Utilities

All rentals are inclusive of electricity (except pool heating, which is optional and spa heating which is optional too) and water.

Cleaning

The property will be cleaned before your arrival and again on your departure. If you require any extra cleans during your stay, there is a charge of $130/£75. Any stays of less than 6 nights will also incur a cleaning charge of $130/£75.

Pool Heating/ Spa Heating

If spa heating is required (normally between October and April), this must be requested at the time of booking. There is an additional charge of $30/£18 per night or $210/£130/week. In the event that pool heating is requested and paid for, the owners cannot guarantee the temperature of the pool as this will vary according to the different factors, the main one being the prevailing weather conditions.

Inventory items

No inventory items must be removed from the home. This includes linens, towels, ornaments and soft furnishings. Any breakages or damage must be reported to the Management Company immediately or prior to departure.

General care and attention

Our home has been furnished with upscale furnishings and has many additional items for our guests pleasure. Please feel free to use the home as if it were your own but respect the owner's notices and requests throughout the villa. Soft furnishings are provided for your pleasure but should you not wish to display them for the duration of your stay, please place them safely in a cupboard or wardrobe. Replacement of these items before departure for other guests' pleasure would be greatly appreciated.

Grill

If you choose to use the gas grill provided on the deck, we ask that you do not move it from its current position. Please make sure that you clean the grill before departure as this is not included within the Terms Conditions with our Cleaning Company. Failure to do so will lead to a deduction of a $30.00/£16.00 cleaning fee from the security deposit in order to clean the grill for other guests. It is not the owner's responsibility to replenish the gas bottle. Should you wish to use the grill it is your responsibility to pay for a replacement gas bottle. This can be done at any Home Depot or Lowes store in the area.

Insurance

Clients are recommended to take out adequate holiday insurance to cover eventualities such as cancellation, accident, sickness or damage, etc.

Liability

The owner does not accept any liability whatsoever for death, personal injury, accidents, loss or damage to persons or personal effects however caused as a result of the use of the home including the pool and spa. It is the responsibility of an adult member of the party to ensure that children are always properly supervised when using the pool, spa and surrounding area. Please bear in mind that the home is situated on a development. Therefore, the owner cannot be held responsible for any ongoing construction, alterations to existing houses or any noise as a result thereof on or around the development.

Complaints or Dissatisfaction

In the unlikely event of a complaint during your stay please contact the Management Company in the first instance.

Force Majeure

The owner and the Management Company cannot accept or be responsible for or be liable in respect of loss, damage or changes caused by force majeure (e.g. strikes, floods, closure of airports, weather conditions or other events beyond our control).

No Smoking Policy

Please note this home has a NO SMOKING policy.

Pets

This home does NOT allow pets.

Information Book

An Information Book is provided for renters and is full of useful information. This Book must not be removed or taken from the home.
